MLS listings pull through to the BrokerBay platform every 15 minutes from data feeds that are established between BrokerBay and the various boards. Read on to learn how they pull through, which fields continuously sync, and how MLS booking links are set up.

We rely on data feeds provided by ITSO and TRREB to sync MLS listings with the BrokerBay platform.
There are two types of feeds that we can use to access listings: RETS feeds (used to pull in ITSO & RAHB listings) and DLA feeds (used to pull in TRREB listings). Depending on which boards you want to sync with, your brokerage will need to establish one or both of these feed types by either submitting a Brokerage Authorization Form to ITSO or a Data License Agreement to TRREB.
Once the correct feed has been set up, one of our support specialists will be able to add your brokerage office to our backend in order to start syncing listings. A single RETS or DLA feed can sync with multiple brokerage offices, so feed setup only needs to occur once for a brokerage.*
Once the feed connection is established, listings loaded to MLS will pull through to BrokerBay automatically within 15-30 minutes.
*Note: Sub-brokerages and franchisees must establish their own RETS & DLA feeds separate from their parent brokerage.
Which listing fields sync continuously from MLS?
The majority of listing fields will continue to automatically sync with BrokerBay after the listing has pulled through to your platform, including status and price changes. Notable exceptions to this are the listing agent field and listing photos—this data is only synced once during the listing's initial importation to BrokerBay.
How are MLS booking links set up?
Online booking links are enabled/disabled by the boards themselves on a per-office basis—our support team can reach out to the board in question and request that they enable BrokerBay booking links on your behalf. Please email support@brokerbay.com with either the brokerage office ID or the MLS number of a listing that's missing a booking link for assistance.
Disabling ShowingTime booking links entirely must be completed on the brokerage's end by logging in and navigating to Office Setup → Showing Agent Requests → set toggle to NO.

TROUBLESHOOTING & FAQS
How long does it take for an MLS listing to sync with BrokerBay?
Listings typically take about 15 minutes to pull through, occasionally 30 if the volume of listings currently importing is heavy. If you broker-loaded a listing more than 30 minutes ago and don't see it in your platform yet, please follow the troubleshooting steps below before reaching out to support@brokerbay.com for further investigation!
Why hasn't my listing been imported?
Troubleshoot to the best of your abilities using the steps below, then contact our support team if a resolution isn't found:
- Was the listing broker-loaded to MLS more than 30 minutes ago? Listings can occasionally take up to 30 minutes to import.
- Have you selected YES to “Distribute to Internet Portals?" and "Display Address on Internet?” on the MLS listing? YES must always be selected for these settings in order for us to pull the listing through to our platform.
- If the missing listing is a TRREB listing, was it marked SOLD immediately after being broker-loaded? Due to data restrictions implemented at board level, we are unable to access inactive listing data in TRREB's feeds. If your listing was marked SOLD before it had a chance to sync with BrokerBay, it will not import and we cannot force-pull it through. (In these instances, we recommend loading the property as an exclusive listing in BrokerBay to book showings or keep a record in the platform.)
- Is this listing interboarded to TRREB? Much like inactive listing data, TRREB does not release interboarded listing data into their feeds. We are unable to pull interboarded listings into BrokerBay from TRREB.

My listing was imported missing some/all of its photos—how do I pull them in?
Photos only sync from the board to BrokerBay once, when the listing initially imports. If photos failed to import or were added to the MLS listing after it pulled through, you will need to add them to the BrokerBay listing manually.
