OVERVIEW
BrokerBay will automatically import new Agent and Administrative accounts from the MLS. If an Agent has recently switched to your brokerage, you can expedite the transfer by manually creating their new account.
For certain Canadian markets, Administrative and staff accounts are not automatically imported and must be managed manually.

Adding a new user
Adding licensed Agents:
The addition of licensed Agents is automated by BrokerBay if the Agent is associated with your brokerage at the MLS level. However, there are two reasons you might want to add a licensed Agent manually:
- If the Agent recently switched brokerages and wants to avoid waiting for the automatic transfer.
- If you delete a user by mistake, you can manually recreate their account.
To add a new licensed Agent to your brokerage:
- Select the Admin tab > Manage Users.
- Select Add User.
- Input the Agent's information. Ensure their member number and corresponding board are correct.
- Select Save.
Adding Administrators / Staff:
Administrator and staff accounts are not automatically created by BrokerBay. A Global Administrator must manually create all Administrator and staff accounts.
- Select the Admin tab > Manage Users.
- Select Add User.
- Input the individual's personal information.
- Select their role according to the level of permissions they should have: Global, Branch, Team, or Manager.
- If the Administrator is a Licensed Agent with a member number:
- Under License Type, select Licensed.
- Under Title, select the most appropriate title.
- Input their member number and corresponding board.
- If they are a Branch or Team Administrator or Manager, under Brokerage, select the branch or teams they should have management access to.
- Select Save.
Deleting a user
- Select the Admin tab > Manage Users.
- Locate the user you wish to delete.
- Within the user's row, select the ellipses (...) > Delete User.
Please note that deleted accounts cannot be restored. A deleted user will be moved to the Deleted tab of the Manage Users page in case Administrators need to access their information in the future.
Why is the Save button not selectable?
Save will not be selectable until all mandatory fields have been filled out. Ensure that all mandatory user information has been entered.
What is the primary board?
If an Agent is a member of only one board, this board will be the primary one. If an Agent is a member of multiple boards, their primary board is the one they use most often to conduct business, such a listing properties or booking showing appointments.
What does it mean when an Agent's member status is Unverified?
If an Agent is unverified, the following warning will appear on their profile:
An Agent's account can hold the Unverified tag for a number of reasons:
- They recently transferred brokerages, and their new membership has not been processed at the board and/or MLS level yet.
- Their member number is incorrect on their BrokerBay profile. Please note that member numbers are case-sensitive.
- The board on their BrokerBay profile does not match the board on their MLS profile.
- The brokerage office they belong to has not been added to BrokerBay yet, or is being managed by another brokerage platform.
- Their Agent license is currently parked.
