Getting Started
Listing agents are now able to upload their own exclusive listings to BrokerBay, to be reviewed and verified by an admin at a later time.
This article outlines the process of uploading an exclusive listing to BrokerBay as a listing agent.
How-To
Exclusive listings can be created right from your agent Dashboard!
- Go to the Dashboard tab and click "Create Listing."
- Hit
to upload the necessary paperwork. Select the relevant category from the dropdown beside each file, then click Next.
**You must flag at least one file as "Listing Paperwork" in order to proceed. - Enter all required listing details, then hit Next. (You can attach photos and add additional property information at this point, too, if desired.)
- Confirm your submission and decide whether you want to publish your listing as a draft (only visible to you and admin staff) or to your entire brokerage.
What happens once I've submitted my listing?
Once you've uploaded your listing with all necessary paperwork, an administrator will need to review and approve it for publication.
In the meantime, you can edit listing details and configure showing instructions via your Dashboard, where the unapproved listing will be visible as a DRAFT.
What happens if my pending listing is rejected?
An admin may reject your listing if the paperwork is not in order—if this happens, you'll be notified of the rejection and the reason so you can correct any errors or omissions in the submitted documents.
Once your paperwork has been approved, your listing will be live! You can then configure any missing showing instructions and start managing showings.
The Documents tab will now house any listing documents uploaded during listing creation or added afterward. (**Please note that these documents can only be viewed by an administrator or the listing agent.)
Coming Soon Listings
Coming Soon listings are a special type of Exclusive listing that can be created in BrokerBay. They allow agents to showcase upcoming MLS listings to other agents at their brokerage prior to the property being broker-loaded on the board, testing the market and collecting feedback for their sellers.
These listings differ slightly from regular Exclusive listings in that they have a coming soon date in addition to an expiry date.
Once the coming soon date has passed, Coming Soon listings become inactive and disappear from your brokerage view—they can no longer be edited or have appointments booked on them. For this reason please ensure that the coming soon date lines up with the date the MLS listing is scheduled to become available.
What happens when the MLS listing goes live?
When their MLS counterpart reaches the system, the Coming Soon listing is prompted to show up in the Duplicates tab of the Admin Queue so that your front desk staff can merge over showing instructions, appointments, feedback, and offers to the MLS listing as needed.
