Getting There: My Dashboard → Create Listing
OVERVIEW
Need to create a Coming Soon listing in preparation for your listing, which is set to go live on MLS at a later date? Need to create a listing Exclusive to your brokerage office?
As an agent of a Canadian brokerage, these are all cases where the listing is not/not yet on MLS and needs to be created manually within BrokerBay.
This article will guide you on how to create your listing.

There are 3 Steps (Step 1: Upload Documents, Step 2: Add Details, Step 3: Submit for Review) to creating your listing in BrokerBay.
Get started from your Agent Dashboard by clicking Create Listing.
This will open the Create a Listing module.
STEP 1 - Upload Documents:
Hit to upload the necessary paperwork. Select the relevant category from the dropdown beside each file, then click Next.
*You must flag at least one file as "Listing Paperwork" in order to proceed.
STEP 2 - Add Details:
Enter all required listing details indicated by the *. You can attach photos and add additional property information at this point, too, if desired.
Ready to move on and Publish? Click Next (clicking Next will save your draft).
Not ready to take final steps to Publish? Once you’ve entered the required details, save your progress by clicking Save Draft. You can exit the Create a Listing module by clicking the Dashboard tab within the left hand side navigation menu. When you’re ready to publish at a later date, head to your listing to Submit for Approval.
STEP 3 - Publish:
Confirm your submission by clicking My Brokerage to Where should this listing be shared? This indicates you’re ready to submit your listing for approval to have it published to your brokerage.
Once you’ve made your selections, click Submit for Review.

Create Your Coming Soon Listing
Coming Soon listings are a special type of Exclusive listing that can be created in BrokerBay. They allow agents to showcase upcoming MLS listings to other agents at their brokerage prior to the property being broker-loaded on the board.
Creating your Coming Soon listing follows the same 3 Steps ( Step 1: Upload Documents, Step 2: Add Details, Step 3: Submit for Review) as your Exclusive Listing.
Coming Soon listings will slightly differ from regular Exclusive listings in that they have a Coming Soon Date.
What happens once the Coming Soon Date passes?
Once the Coming Soon Date has passed, the Coming Soon listing will become inactive and disappear from your brokerage view—they can no longer be edited or have appointments booked on them. For this reason please ensure that the coming soon date lines up with the date the MLS listing is scheduled to become available.
What happens when my Coming Soon listing’s MLS listing goes live?
When the MLS listing pulls into BrokerBay, your Coming Soon listing is prompted to show up in the Duplicates tab of the Admin Queue so that your front desk staff can merge over showing instructions, appointments, feedback, and offers to the MLS listing as needed.
What Happens Once I've Submitted My Listing?
Once you've completed Step 3: Publish and have submitted your listing for review, an administrator will need to approve your listing and paperwork for publication.
In the meantime, you can edit listing details and configure showing instructions via your Dashboard, where the unapproved listing will be visible as a DRAFT.
Once approved, your listing will be live and visible for members of your brokerage office in the Brokerage tab.
What happens if my listing is rejected?
An admin may reject your listing if the paperwork is not in order—if this happens, you'll be notified of the rejection and the reason so you can correct any errors or omissions in the submitted documents.
Click Manage Documents and upload a new file in replacement of your rejected document.
The Documents tab will now house any listing documents uploaded during listing creation or added afterward. (**Please note that these documents can only be viewed by an administrator or the listing agent.)
Who Can See My Listings? Draft vs. Listing in Brokerage tab
Draft
Whether you’re not ready to submit for administrator approval or have already submitted your listing for review - before the listing is approved and published by your administrator, your listing will remain as a DRAFT.
Your DRAFT listings are only visible to yourself and your administrators.
Brokerage tab
The Brokerage tab found in your left-hand side navigation menu hosts all listings that have been published to your brokerage. Fellow agents and admins belonging to the same brokerage office can see what you see in the Brokerage tab.
