OVERVIEW

If health safety continues to be a concern for clients, BrokerBay provides brokerages with the ability to configure COVID-19 forms. This will require showing agents to submit the forms prior to the confirmation of their appointments.

This article will guide admins on how they can set up/edit brokerage-wide forms and how to enable/disable forms for individual listings to cater to client needs.

How to Setup Covid-19 Forms for Your Brokerage

Enabling Forms
To enable forms brokerage-wide, go to your Admin toolbox and click Brokerage Settings. Toggle ON/OFF these settings to apply to your brokerage’s listings.

• MLS Booking Warning Pop Up: This is an initial disclaimer that pops up the moment an agent tries to book online, asking them to acknowledge general COVID-19 safety precautions.
• New Booking Mandatory Waiver: This is the COVID-19 form that, if toggled ON, will automatically be sent to the showing agent upon booking.

While in Brokerage Settings, you can edit each of the above templates or choose to use the default BrokerBay form.

• COVID-19 Precautions link: Showing Confirmed emails to showing agents will include a COVID-19 precaution link, leading to a BrokerBay page of default COVID-19 Precautions

Form Tracking

COVID-19 forms are tracked and saved within each showing on BrokerBay. Here is how the process works:

1. Form is automatically sent to showing agent via email upon booking
2. Showing will show in your queue as Waiting for COVID-19 Form
   

   

3. Showing Agent provides e-signature on form, which is then automatically communicated back to your queue; showing will now show COVID-19 Form Signed
   

Forms that have been e-signed are saved in the showing automatically. You can also manually upload the form if the agent sends you a signed PDF directly:

Form tracking still works for properties set to auto-confirm! These showings will be pending in the admin queue awaiting showing agent submission and automatically confirm upon form completion.

How to Enable/Disable Covid-19 Forms per Listing

If you need to turn COVID-19 forms ON or OFF on a per-listing basis, access the listing’s Showing Configuration. 

Here you will see a Covid-19 tab where you can make the changes to affect only that specific listing.
