Accessing Feature: Eyeball Tool --> Offers tab --> Offer Settings
This article covers how to add instructions for submitting offers, including how agents register their offers online.
Details for offer instructions are to be submitted by your agents as part of their listing paperwork. There is a section for offers on BrokerBay's appointment information sheet.
When you've received paperwork, you'll want to transfer these details to the Offer Settings section as shown below, so agents can view how to submit offers online. Any information added in the fields below will be visible to agents when registering their offer.
When adding offer settings you have the ability to adjust the following:
- Allow Offer Registration: Turn this off to prevent offers from being registered on the property either online or by administrators.
- Allow Agents to Register Online Through MLS: This allows agents to easily register online, where their offer will then come to the listing agent and front desk to view. If you would like to force agents to call the brokerage / LA when registering turn this toggle off.
- 801s Submitted Online Must Be Verified: This security precaution directs offers to the brokerage / LA to verify the form before paging out any offer notifications.
- Automated Offer Notifications: No more manual typing of offer emails! Our Automated Offer Notification section includes an editable template that can be used to notify agents with the click of a button. How Admins Manage Offers
You'll now see an Offers tab in your admin queue! This houses offers that have either been registered online, or offers that are waiting to be paged out.
Verify Form 801:: Offers with this button in your queue have been registered online by a co-op agent and are waiting for an admin or LA to confirm the form is valid. Upon confirmation you will be able to select whom you wish to notify about the offer.
Manage Notifications: Offers with this button in your queue are valid offers that have yet to be paged out. Simply click this button when it is time to trigger a notification to agents and select who you would like to notify.
Troubleshooting & FAQs
An agent is stating they didn't receive an offer notification - In the offers section within the Eyeball Tool you will find an email delivery log of all offer notifications, including agents who have unsubscribed to track who received the offer.
My agent doesn't want offers registered online - Not to worry, you can disable this within the Offer Settings page
I dismissed the offer by accident instead of notifying agents - It happens! Visit the listing's eyeball tool and click "Message Co-op Agents" to send out a manual notification
Do I have to verify the 801? No, you can leave this up to the Listing Agent. Once they verify the 801 the button will change to green in your queue for you to page out offers.
What do I do if I don't have offer instructions? Offers default to "Accepted Anytime" if you are not provided with instruction from your agent
Do offers automatically drop off? Yes! They will move to the Inactive Offers tab within the listing on their irrevocable date.
How do I delete an offer? Find the offer within the Offers tab of the Eyeball Tool --> Manage --> Delete
